Vehicle-related documents are often overlooked, and their significance is sometimes underestimated or neglected. However, understanding and safeguarding these documents is essential, as they play a critical role in legal compliance, ownership verification and road safety. Below is an overview of the key vehicle documents every motorist should be aware of.

Vehicle Registration Certificate (NaTIS / Registration Papers – commonly known as an RC1)

The most important document associated with your vehicle is the NaTIS (National Traffic Information System) registration certificate, often referred to as the vehicle registration papers. This document functions as your vehicle’s official identification.

If the vehicle was purchased through a bank or finance house, the finance institution will retain the original NaTIS document until the vehicle is fully paid off. Once the vehicle is settled in full or purchased outright with cash, the original document must be released to you by the finance house/bank.

This document is of vital importance, as possession of the original registration certificate (RC1) allows ownership of the vehicle to be changed without your presence or consent. For this reason, it should always be stored securely, and you should know exactly where it is. While you may obtain copies from the finance house, only one original exists.

• Is required for insurance, licensing and the sale or transfer of the vehicle

Vehicle Licence

A valid vehicle licence is required for all vehicles driven on public roads. Vehicle licence documents support legal compliance, confirm vehicle registration and contribute to road safety. They enable authorities to monitor vehicles on public roads and enforce traffic laws and penalties. In South Africa, motorists are granted a 21-day grace period to renew an expired vehicle licence without incurring penalties.

Driver’s Licence

A valid driver’s licence is legally required to operate a motor vehicle. In South Africa, a learner’s licence can be obtained from the age of 17, allowing the holder to drive under the supervision of a licensed driver. At 18, drivers may apply for a full driver’s licence after passing the required test.

Driver’s licences must be renewed every five years. There is a three-month grace period for an expired licence, provided renewal was applied for before the expiry date. During this period, drivers must carry both the expired licence card and the renewal receipt as proof. If renewal is only applied for after expiry, a temporary licence (valid for six months) must be obtained, and penalties may apply. You must carry this license with you at all times when driving any vehicle on a public road.

Service History/Service Book

A complete service history or service book is very much in the interest of the owner, as it confirms consistent and manufacturer-approved maintenance. This not only improves the vehicle’s reliability but also significantly increases resale value and buyer confidence. A well-documented service history helps owners track maintenance schedules, identify potential issues early, and possibly avoid costly mechanical failures. It is also often required to maintain warranty compliance.

With newer vehicle technology, many manufacturers no longer provide physical service books. Instead, service records may be stored electronically by dealerships or service networks. It is your right to check that the servicing dealer has loaded the pertinent information on the system and get proof of this. It is important to ensure you have access to these records and confirm that all services are properly logged.

Insurance Information

Keeping your insurance details readily available is crucial. In the event of an accident, it is advisable to contact your insurance provider directly for guidance, particularly regarding towing services. BE AWARE THAT YOU DO NOT HAVE TO AGREE TO ANY NON-INSURANCE DESIGNATED TOWING SERVICE RECOVERING YOUR VEHICLE! If necessary, you can have your insurance company designate the towing service. This helps ensure your vehicle is handled by a reputable towing company and prevents excessive or unlawful release fees.

Emergency and Medical Information

It is strongly recommended to keep emergency contact details in your vehicle. Medical aid information and emergency contact numbers can be invaluable in an emergency and assist first responders or authorities in contacting loved ones quickly.
